Position Details

Admin / Scheduler / Billing

Position Details
The Administrator / Scheduler / Biller is our first point of contact with patients. In this role, you are responsible for responding to all new patient inquiries through one-on-one phone calls to facilitate/answer questions regarding RCBM providers, fee structure, and insurance policies & procedures. This process requires strong verbal communication skills while entering data, ability to multi-task, strong organization skills, and analytical thinking. We are a psychological practice. Interaction with our patients requires empathy, compassion, and strong verbal/written communication skills.
Patient Scheduling Responsibilities
- Respond to all new patient inquiries through one-on-one phone calls and emails within 24 hours of inquiry.
- Complete RCBM Patient Inquiry Intake Data for all Prospective New Patients
- Facilitate and answer all questions regarding RCBM providers, explaining insurance and fee structure.
- Add new patients to EHR (Electronic Health Record)
- Schedule all New Patient Intake Appointments with appropriate Provider
- Set up Patient Portal and assist patient with any questions
- Assign relevant questionnaires prior to Intake Appointment
- Check patient insurance eligibility and benefits prior to Intake Appointment
- Order / Track office supplies
Billing Responsibilities
- Assisting providers with claim submissions.
- Posting patient and insurance payments
- Downloading and processing ERAs
- Reviewing and generating patient statements
- Answering billing related phone calls
- Running monthly aging reports and resolving unpaid claims and denials
Other Duties
- Assisting with medical records requests.
- Filing paper insurance claims and other paperwork.
- Assisting Director of Operations with other administrative responsibilities, as needed.
Required Skills
- Empathetic Listener who is intuitive but does not over-step boundaries when facilitating scheduling meetings or interacting with patients.
- Typing speed of 45+ WPM (words per minute).
- Must be comfortable speaking with patient and inputting answers into questionnaire fields simultaneously.
- Strong experience working with Google docs, forms, calendar etc.
- Basic / Level 2 Excel
- Strong verbal / written communication
- Organizational Skills including (digital & physical filing systems)
- Ability to multi-task.
- Pro-active / Self-Starter who takes pride in your work, even when no one is looking.
- Ability to work independently with a small team of busy professionals. You need to be able to be self-guided while also asking for assistance when needed.
- Time Management skill – you are punctual, set goals for project completion and manage your time toward these goals.
